  4. 4StakeholderHub creates, updates or removes the Outlook events it made for you, and only those.

1Connecting (once, by choice)

The connection is off until you turn it on. Each person connects their own calendar.

  1. 1.1 · You

In Settings → Profile → Calendar Subscription, you click Connect Microsoft 365. You are already signed in to StakeholderHub with two-factor authentication.

  2. 1.2 · Microsoft 365

Microsoft shows its own sign-in and approval screen: StakeholderHub, published by Melyn Management Inc. (verified publisher), and the permissions requested: openid · offline_access · User.Read · Calendars.ReadWrite.

  3. 1.3 · You

You approve. If your organization requires it, your IT administrator approves once for everyone.

  4. 1.4 · StakeholderHub

StakeholderHub receives a connection key from Microsoft and stores it encrypted (AES-256-GCM) in our database in Montréal, Canada.

  5. 1.5 · StakeholderHub

It reads your Microsoft account ID and email address, to show which account is connected, and checks that your calendar exists. The connection is recorded in your organization's audit log.

2Day to day: planned meetings appear in Outlook

You choose which meetings to add. StakeholderHub works with the events it adds for you.

  1. 2.1 · You

On a planned meeting in StakeholderHub, you click Add to Outlook.

  2. 2.2 · StakeholderHub

StakeholderHub sends Microsoft one new event: the meeting's title with the stakeholder's or project's name, date and time, meeting type, project, your notes (up to 8,000 characters) and a link back to StakeholderHub.

  3. 2.3 · Microsoft 365

The event is created in your own Outlook calendar, with an empty attendee list.

  4. 2.4 · You

You or a teammate change the meeting's date or time in StakeholderHub.

  5. 2.5 · StakeholderHub

StakeholderHub updates that same event in the calendar of everyone who added it. It keeps a list of the Outlook events it created and edits only those.

  6. 2.6 · Microsoft 365

The Outlook event updates. A postponed meeting is marked (Postponed).

  7. 2.7 · You

The meeting is cancelled, or you click Remove from Outlook.

  8. 2.8 · StakeholderHub

StakeholderHub removes the event it created, and it disappears from Outlook.

  9. 2.9 · You

You log the engagement for the meeting, or mark it complete.

  10. 2.10 · StakeholderHub

StakeholderHub marks every Outlook copy (Completed) and shows it as free time. It stays in Outlook as a record.

3Disconnecting (any time)

You, or your IT team, stay in control.

  1. 3.1 · You

    You click Disconnect in Settings.

  2. 3.2 · StakeholderHub

StakeholderHub deletes the stored key and its list of your events, and records the disconnection in the audit log. Events already in Outlook stay there as you left them.

  3. 3.3 · Microsoft 365

Your IT administrator can also remove StakeholderHub in Microsoft Entra (Enterprise applications) at any time, which ends its access immediately.

What the connection does

  • Reads your Microsoft account ID and email address
  • Checks that your calendar exists
  • Adds the meetings you choose to your own calendar, with an empty attendee list
  • Updates and removes the events it created, and only those
  • Sends changes one way: from StakeholderHub to Outlook
  • Keeps the connection key encrypted, in Canada

For IT administrators

Application
StakeholderHub, multitenant app registration. Verified publisher: Melyn Management Inc. (Microsoft Partner ID 7183366)
Permissions (delegated)
openid: sign-in · User.Read: account ID and email address · Calendars.ReadWrite: create, update and remove the events it adds · offline_access: keep the connection without signing in again every hour
Why Calendars.ReadWrite

Microsoft 365 work or school accounts.
Who connects
Each person, for their own calendar. Access is delegated to that person's calendar only.
What each event contains
Meeting title with the stakeholder's or project's name, date and time, meeting type, project, the meeting notes (up to 8,000 characters) and a link back to StakeholderHub. The attendee list is empty.
Where data is stored
The encrypted connection key and the list of created events are stored in Montréal, Canada.
Revoking access
Disconnect in StakeholderHub Settings, or remove the app in Microsoft Entra → Enterprise applications.

The connection is optional. Anyone can use the read-only Calendar Subscription link in the same Settings card instead, which works with Outlook, Google Calendar and Apple Calendar.
